Creating & Managing Events

Plan every booked job in one place — details, menu, timeline, staff, and equipment.

An event is a booked catering job. It's the hub that ties together the menu, schedule, people, and gear for a single occasion.

How events get created

  • Automatically, when you move a lead to Booked (see Managing your pipeline).
  • Manually, with the New Event button on the Events page.

What lives on an event

  • Details — client, date, start/end time, venue, guest count, and event type.
  • Menu — attach one or more of your menus so the kitchen knows what to prepare.
  • Timeline — a run-of-show with timed items (e.g., "5:00 PM — Guests arrive", "6:30 PM — Dinner service").
  • Staff — assign team members to the event (on Professional and higher plans).
  • Equipment — reserve gear so it isn't double-booked (on Professional and higher plans).

BEOs (Banquet Event Orders)

On eligible plans, you can generate a BEO — a single printable sheet that summarizes everything your team needs for the day. Look for the print/BEO option on the event.

Keeping things organized

Use the status badges and the events list to see what's coming up. Update an event any time as plans firm up — changes are saved instantly and reflected wherever that event appears.
