Managing Your Lead Pipeline

Track inquiries from first contact to booked event with a drag-and-drop pipeline that creates events for you.

The Leads page is a visual pipeline (Kanban board) that shows every opportunity and what stage it's in.

The stages

  • Inquiry — new requests that need a first response.
  • Qualified — good-fit leads with basic event details.
  • Tasting — prospects who need a tasting or consultation.
  • Proposal — leads waiting on a proposal decision.
  • Booked — won work, ready for event planning.
  • Lost — closed opportunities that didn't book.

Moving leads between stages

You have two ways to update a stage:

  • Drag and drop a card between columns, or
  • Use the stage dropdown at the bottom of each card.

Both update the lead instantly.

Booking turns a lead into an event

When you move a lead to Booked, CaterCamp automatically creates a confirmed event for that client — as long as the lead has a client and an event date. This keeps your pipeline and your events calendar in sync without any double entry.

You can also book explicitly from a card's menu using Book Event. Either way, CaterCamp avoids creating a duplicate event for the same client and date.

Tip: If a lead doesn't have an event date yet, booking it still moves it to Booked — just add the date and an event will be created, or use Book Event to set it up.

Editing and adding leads

  • Click the ⋯ menu on any card to Edit the lead's details or Delete it.
  • Add a lead manually with the New Lead button — handy for phone calls and walk-ins.
