Invoices & Online Payments

Send invoices and collect deposits and balances online with your own Stripe or PayPal account.

CaterCamp lets you invoice clients and collect payment online using your own Stripe or PayPal account, so funds go straight to you.

Connect a payment provider

Go to Settings → Integrations and add your merchant keys:

  • Stripe — add your secret and publishable keys (and optionally a webhook secret for automatic status updates).
  • PayPal — add your client ID and secret, and choose sandbox or live mode.

Your keys are stored securely and used only to process your clients' payments.

Creating and sending invoices

From the Invoices page, click New Invoice, add line items (often from the related proposal or menu), and send. As with proposals, you'll get an editable email preview before it goes out.

The client receives a link to pay online by card — no account required.

Deposits and balances

A common flow is to bill a deposit to secure the date, then the balance before the event. Create separate invoices for each, or track partial payments as they come in.

After a client pays

When a payment succeeds, the client sees a clear confirmation. If you've configured a Stripe webhook, the invoice status updates automatically once the payment is confirmed. Without a webhook, the invoice still records the successful payment and updates shortly after.

Editing invoices

Use the Edit option to adjust line items or details before a payment is made. Status badges (Draft, Sent, Paid) show exactly where each invoice stands.
